RETURN, REFUND, CANCELLATION & SERVICE POLICY

At Media Midwest, we are committed to providing professional-quality automotive media, photography, videography, custom decals, graphics, merchandise, promotional products, and related creative services.
Because Media Midwest provides both custom physical products and scheduled creative services, our return, refund, cancellation, revision, and remake policies vary depending on the type of product or service purchased.
By placing an order, booking a session, approving a design, purchasing a service, participating in a Media Midwest event, or otherwise engaging Media Midwest for products or services, the customer acknowledges that they have read, understood, and agreed to the terms outlined in this policy.
1. GENERAL POLICY
Media Midwest offers a combination of:

Event photography and videography

Promotional media services

Other customized products and services
Because many of these products and services are customized, scheduled, personalized, or created specifically for an individual customer, not all purchases are eligible for cancellation, return, exchange, or refund.
Refund eligibility is determined based on the type of purchase, the stage of production or service completion, and the reason for the requested refund.
Media Midwest reserves the right to review individual situations on a case-by-case basis when circumstances are not specifically addressed in this policy.
2. CUSTOM PRODUCTS
Custom products are products created specifically according to information, measurements, artwork, colors, wording, specifications, or other instructions provided or approved by the customer.
Examples include, but are not limited to:

Because these products are specifically produced for the customer, custom products are generally non-refundable once production has begun.
Customers are responsible for carefully reviewing all information before approving production.
3. DESIGN APPROVAL
Before certain custom products enter production, Media Midwest may provide the customer with a digital proof, mockup, preview, or other representation of the requested design.
The customer is responsible for reviewing the proof for:

Colors

Dimensions

Measurements

Orientation

Layout

Vehicle placement

Logo placement

Font selection

Graphic elements

Requested modifications

When the customer approves a design, that approval authorizes Media Midwest to proceed with production.
Once a design has been approved, the customer assumes responsibility for the approved design unless the finished product contains a production error made by Media Midwest.
Media Midwest strongly recommends reviewing every proof carefully before providing approval.
4. DESIGN REVISIONS
Media Midwest may allow customers to request revisions before production begins.
Minor revisions may be included when specifically stated in the original service or product agreement.
However, extensive revisions, repeated revisions, major design changes, or revisions requested after approval may require an additional fee.
Examples of revisions that may result in an additional charge include:

Changing the overall design

Changing names or numbers after approval

Requesting a completely different layout

Requesting a new design concept

REVISION PAYMENT REQUIREMENT
Any revision requiring an additional charge must be paid in full before Media Midwest begins the revised work.
The standard revision/remake charge is:
75% OF THE ORIGINAL PRODUCT PRICE
If the revision requires a new physical product to be produced and shipped, applicable shipping charges will be added separately.
5. DECAL REMAKES
If a customer requests that a decal be remade after the original design has been approved, produced, or delivered, the customer may be required to pay a remake fee.
The standard remake charge is:
75% OF THE ORIGINAL DECAL PRICE + SHIPPING, WHEN APPLICABLE
A remake may be required when the customer:

Changes their mind

Wants a different design
-
Wants different colors
-
Wants different wording
-
Wants different dimensions
-
Wants a different size
-
Wants a different orientation
-
Wants a different placement
-
Provides incorrect information
-
Provides incorrect measurements

Damages the decal

Loses the decal

Installs the decal incorrectly

Removes the decal and later requests another

Requests a replacement for reasons unrelated to a manufacturing defect
Remake requests must be paid upfront before production begins.
Media Midwest will not begin a paid remake until payment has been received and confirmed.
6. MANUFACTURING ERRORS
If Media Midwest makes a confirmed production error, Media Midwest may correct the error without charging the customer the standard 75% remake fee.
Examples may include:

Incorrect spelling caused by Media Midwest

Incorrect dimensions caused by Media Midwest

Incorrect colors compared with the approved proof

Incorrect quantity

Printing or cutting defects

Significant manufacturing defects

A product that materially differs from the approved design
Customers may be required to provide photographs or other evidence of the issue.
If the issue is determined to be a Media Midwest production error, Media Midwest will determine an appropriate resolution, which may include:

Replacement

Reproduction
-
Correction
-
Reprint
-
Partial refund

Other appropriate remedy
7. CUSTOMER ERRORS
Media Midwest is not responsible for errors resulting from incorrect information supplied or approved by the customer.
Examples include:

Incorrect spelling provided by the customer

Incorrect names

Incorrect numbers
-
Incorrect measurements
-
Incorrect vehicle information
-
Incorrect color selection
-
Incorrect dimensions

Incorrect shipping address

Incorrect contact information

Incorrect artwork supplied by the customer
If the customer discovers an error after approval or production, a revision or remake may be required.
The standard 75% remake/revision charge plus applicable shipping may apply.
8. DECAL INSTALLATION
Customers are responsible for proper decal installation unless installation is specifically purchased from and performed by Media Midwest.
Media Midwest is not responsible for damage caused by:

Contaminated surfaces

Dirt
-
Wax
-
Ceramic coating

Sealants

Moisture

Customer modification
A decal damaged during customer installation does not automatically qualify for a free replacement.
A replacement may be subject to the 75% remake fee plus shipping.
9. SHIPPING POLICY
Original shipping charges are generally non-refundable.
Customers are responsible for providing an accurate shipping address.
Media Midwest is not responsible for delays caused by:

Incorrect addresses

Carrier delays

Weather

Holidays

Natural disasters

Carrier disruptions

Package routing issues

Other circumstances outside Media Midwest's direct control
If a product is returned to Media Midwest because of an incorrect or incomplete address provided by the customer, additional shipping charges may apply before the package is reshipped.
If a remake is requested, applicable shipping charges must be paid before the replacement product is shipped.
10. PHOTOGRAPHY SERVICES
Photography sessions are considered scheduled creative services rather than traditional physical products.
Photography services may include:

Other photography services offered by Media Midwest
Photography sessions require Media Midwest to reserve time, equipment, planning resources, and potentially travel specifically for the customer.
Therefore, photography services are subject to the following cancellation and refund rules.
11. PHOTOGRAPHY SESSION PAYMENTS
Photography sessions may require:

Full payment upfront

A deposit

A booking fee
-
A non-refundable retainer

Another payment arrangement specified at the time of booking
The applicable payment requirement will be communicated before the session is confirmed.
A session is not considered fully confirmed until the required payment or deposit has been received.
12. PHOTOGRAPHY SESSION CANCELLATIONS
Customers should provide as much notice as reasonably possible when canceling a photography session.
Because Media Midwest reserves time specifically for the customer, cancellations may result in the loss of the booking fee, deposit, or retainer.
If a customer cancels after Media Midwest has already begun preparation, travel, planning, location coordination, or other work associated with the session, Media Midwest may retain applicable payments.
Refund eligibility will depend on the circumstances and the specific booking terms.
13. PHOTOGRAPHY RESCHEDULING
Media Midwest may allow a customer to reschedule a photography session when reasonable notice is provided.
Rescheduling is subject to:

Event schedules

Existing bookings

Other operational limitations
A rescheduling request does not guarantee that the original date or time will remain available.
Repeated rescheduling may result in additional fees or forfeiture of the original booking payment.
14. PHOTOGRAPHY NO-SHOWS
A customer who fails to attend a scheduled photography session without providing appropriate notice may be considered a no-show.
No-shows may result in:

Loss of the booking fee

Loss of the deposit
-
Loss of the retainer
-
Loss of the session payment
-
Additional fees to book a new session
A new session may require a new payment.
15. PHOTOGRAPHY WEATHER CONDITIONS
Outdoor photography may be affected by:

Rain
-
Snow
-
Ice
-
High winds
-
Severe weather
-
Extreme temperatures
-
Unsafe road conditions
-
Poor visibility
-
Other environmental conditions
When weather creates an unreasonable or unsafe environment for the session, Media Midwest may recommend rescheduling.
Weather-related rescheduling does not automatically constitute a refund.
When reasonably possible, Media Midwest will attempt to work with the customer to identify another available date.
16. PHOTOGRAPHY SESSION DELIVERABLES
Photography deliverables depend on the package purchased.
Depending on the selected package, deliverables may include:

Edited photographs
-
High-resolution digital photographs
-
Social-media-ready photographs
-
Promotional images
-
Other agreed-upon digital content
The number of delivered images will depend on the package purchased.
Customers should not expect additional images beyond the package specifications unless additional images or services are separately purchased.
17. PHOTOGRAPHY EDITING
Photography editing is a creative process.
Media Midwest may apply its own professional editing style unless the customer has specifically purchased a service that includes customized editing instructions.
Minor differences between a customer's expectations and Media Midwest's artistic editing style do not automatically constitute a defective service.
Requests for extensive re-editing, alternate edits, different color grading, or substantial changes after delivery may be subject to an additional fee.
18. PHOTOGRAPHY REFUNDS
Photography sessions are generally non-refundable once the session has been completed.
Once Media Midwest has:

Performed the session
-
Captured the photographs
-
Completed substantial editing
-
Delivered the photographs
-
Completed the agreed-upon service
the customer is generally not eligible for a refund simply because they do not prefer the artistic style or expected a different result.
Any legitimate production issue will be reviewed individually.
19. VIDEOGRAPHY SERVICES
Videography services are scheduled creative services and may include:

Automotive videography

Rolling videos
-
Vehicle reels
-
Social media videos
-
Promotional videos
-
Event videography
-
Cinematography
-
Short-form content
-
Commercial video
-
Product videos

Vehicle feature videos

Other video services offered by Media Midwest
Videography services require advance planning, equipment, editing time, scheduling, and potentially travel.
For these reasons, videography bookings are subject to cancellation and refund restrictions.
20. VIDEOGRAPHY SESSION PAYMENTS
Videography services may require full payment, a deposit, or a non-refundable booking fee before the date is reserved.
The required payment will depend on the selected package or agreement.
Media Midwest may decline to reserve a date until the required payment has been received.
21. VIDEOGRAPHY CANCELLATIONS
Customers who cancel a videography session may lose their deposit, retainer, booking fee, or other payments depending on the timing and circumstances of the cancellation.
If substantial preparation has already occurred, Media Midwest may retain payments associated with work already performed.
A customer who cancels after the session has begun is generally not eligible for a refund of the completed portion of the service.
22. VIDEOGRAPHY NO-SHOWS
Failure to appear for a scheduled videography session without appropriate notice may result in forfeiture of the applicable booking payment.
If the customer wishes to book another session, a new payment may be required.
23. VIDEOGRAPHY DELIVERABLES
The final video deliverables will depend on the package purchased.
Depending on the package, deliverables may include:

Edited video clips

Short-form videos
-
Social media videos
-
Cinematic edits
-
Vehicle rollers
-
Promotional content
-
Upload-ready videos

Other agreed-upon video content
Raw footage is not automatically included unless specifically stated in the package or service agreement.
24. VIDEO EDITING & REVISIONS
Video editing requires significant time and creative work.
Minor corrections may be included when appropriate.
However, major editing changes requested after approval or delivery may require an additional fee.
Examples include:

Changing the entire editing style

Replacing music

Rebuilding an edit

Adding new footage

Removing previously approved footage

Reordering the entire video

Creating a completely different version

Requesting additional clips

Requesting additional deliverables
Additional editing work may be subject to a separate quote or the applicable 75% revision/remake policy, depending on the service.
25. TRAVEL FEES
Some photography and videography services may require travel.
Travel fees, mileage charges, lodging, parking, tolls, or other travel-related costs may be charged when applicable.
Once travel-related services or expenses have been committed, those costs may be non-refundable.
26. EVENT SERVICES
Event photography and videography are scheduled services.
Once Media Midwest commits personnel, equipment, and time to an event, cancellation may result in forfeiture of applicable payments.
Event services may also have separate agreements specifying:

Overtime

The event-specific agreement may supplement this policy.
27. PARTNERS & SPONSORS
Media Midwest works with various partners, sponsors, businesses, organizations, brands, and service providers.
Partnerships and sponsorships may provide customers or Media Midwest representatives with special pricing, promotional codes, discounts, products, services, or other benefits.
Because these offers are provided through separate businesses or organizations, Media Midwest cannot guarantee that every partner or sponsor will issue refunds or accept returns.
28. PARTNER & SPONSOR PURCHASES
Refund requests involving products or services purchased directly from a Media Midwest partner or sponsor are subject to that partner or sponsor's own policies.
Media Midwest does not automatically assume financial responsibility for purchases made directly through a partner or sponsor.
If a partner or sponsor has a stated no-refund policy, the purchase may be non-refundable.
Customers should review the partner or sponsor's terms before purchasing.
29. MEDIA MIDWEST PARTNER & SPONSOR REFUND RESTRICTION
To the extent permitted by the applicable agreement and law:
Refund requests for partner or sponsor purchases, discounts, services, products, or promotions that are not issued or processed by Media Midwest will not be processed by Media Midwest and will be denied.
Customers must direct applicable refund, return, warranty, or service complaints to the partner or sponsor responsible for the transaction.
Media Midwest does not have authority to issue a refund on behalf of an independent partner or sponsor unless Media Midwest was the actual seller or payment recipient for that transaction.
30. PROMOTIONAL CODES & PARTNER DISCOUNTS
Partner and sponsor promotional codes are subject to the terms established by the applicable partner or sponsor.
Media Midwest is not responsible for:

Expired promotional codes

Incorrectly entered codes

Partner pricing changes

Partner product availability

Partner shipping delays

Partner cancellations

Partner refunds

Customers should contact the applicable partner or sponsor regarding issues with their products or services.
31. MEDIA MIDWEST IS NOT THE SELLER OF PARTNER PRODUCTS
Unless specifically stated otherwise, Media Midwest acts as a promotional or partnership entity and is not necessarily the seller, manufacturer, installer, distributor, or service provider for products offered by partners and sponsors.
Purchases made directly from a partner remain subject to the partner's own terms.
32. MERCHANDISE
Media Midwest clothing, apparel, accessories, and merchandise may be subject to separate product-specific return requirements.
Customized or personalized merchandise may be non-refundable once production begins.
Customers are responsible for selecting the correct:

Size-related returns or exchanges may not be available for customized products.
33. DIGITAL PRODUCTS & DIGITAL SERVICES
Digital products, graphics, digital designs, edited photographs, edited videos, downloadable files, and other digital deliverables may be non-refundable once delivered or made available to the customer.
Once a digital product has been delivered, downloaded, accessed, or substantially completed, refunds may not be available.
34. CUSTOMER-PROVIDED MATERIALS
Customers may provide Media Midwest with:

Text

Graphics

Measurements

Other creative materials
Customers are responsible for ensuring that they have the appropriate rights and permissions to provide such materials.
Media Midwest is not responsible for copyright, trademark, ownership, or other intellectual-property disputes arising from materials supplied by a customer.
35. APPROVAL OF FINAL PRODUCTS
When a customer approves a final proof, mockup, photograph selection, video edit, or other creative deliverable, that approval indicates acceptance of the submitted version.
Additional changes after approval may result in additional fees.
36. REFUNDS FOR COMPLETED SERVICES
Refunds are generally not available for services that have already been completed.
This includes services where Media Midwest has already:

Reserved the customer's time

Traveled to the location
-
Performed the session
-
Captured photographs
-
Captured video
-
Edited content
-
Designed graphics
-
Produced decals
-
Created custom products
-
Delivered digital files
-
Completed the agreed-upon work
If a customer believes a service was materially incomplete or defective, the issue should be reported to Media Midwest so it can be reviewed.
37. PARTIAL COMPLETION
If a service is partially completed and the customer cancels, Media Midwest may retain payment corresponding to work already performed, time already reserved, materials already purchased, travel already completed, or other non-refundable costs.
Any remaining refund, if applicable, will be determined based on the specific circumstances.
38. EMERGENCY CANCELLATIONS
Media Midwest understands that emergencies can occur.
Emergency situations may be reviewed individually.
Examples may include:

Serious family emergencies

Vehicle breakdowns

Severe weather

Road closures

Emergency situations affecting the customer

Emergency situations affecting Media Midwest
Documentation may be requested when appropriate.
An emergency does not automatically guarantee a refund.
39. MEDIA MIDWEST CANCELLATION
Media Midwest reserves the right to cancel or reschedule a service when necessary.
Reasons may include:

Equipment failure

Severe weather
-
Illness
-
Emergency

Safety concerns

Location restrictions

Scheduling conflicts

Unforeseen circumstances

Other circumstances preventing Media Midwest from reasonably completing the service
If Media Midwest cancels a service and cannot provide a reasonable rescheduling option, Media Midwest will determine an appropriate resolution based on the circumstances and payments received.
40. SAFETY
Media Midwest reserves the right to refuse, stop, postpone, or cancel a photography or videography session when conditions are unsafe.
This may include:

Unsafe driving

Illegal activity

Dangerous locations

Severe weather

Unsafe vehicle operation

Threatening behavior

Harassment

Equipment hazards

Unsafe customer conduct
Safety-related cancellations do not automatically create a refund entitlement.
41. CUSTOMER CONDUCT
Media Midwest expects customers to communicate respectfully with staff, photographers, videographers, representatives, partners, sponsors, and other participants.
Abusive, threatening, discriminatory, harassing, or unsafe behavior may result in cancellation of a service or refusal to provide future services.
Payments may not automatically be refundable when cancellation results from customer misconduct.
42. REFUND REQUEST PROCESS
Customers requesting a refund should contact Media Midwest with:

Refund requests will be reviewed according to this policy and any applicable product or service agreement.
43. REFUND APPROVAL
If a refund is approved, Media Midwest will communicate the approved refund amount and applicable processing method.
Approved refunds will generally be returned through the original payment method when possible.
Processing times may depend on the customer's payment provider.
44. CHARGEBACKS & PAYMENT DISPUTES
Customers are encouraged to contact Media Midwest before initiating a payment dispute or chargeback.
A chargeback does not automatically establish that a refund is owed.
If a customer initiates a chargeback for a transaction that was properly completed according to the agreed terms, Media Midwest may provide applicable documentation to the payment processor demonstrating:

45. NO GUARANTEE OF REFUND
Submitting a refund request does not guarantee approval.
Refunds are evaluated according to:

46. IMPORTANT 75% REVISION & REMAKE RULE
For clarity, the following rule applies to eligible customer-requested revisions and remakes:
CUSTOMER-REQUESTED REVISIONS OR REMAKES AFTER APPROVAL ARE SUBJECT TO A 75% CHARGE OF THE ORIGINAL PRODUCT PRICE.
The applicable amount must be paid upfront.
If a physical product must be shipped, applicable shipping charges are additional.
Media Midwest will not begin the revised work or remake until the required payment has been received.
This policy exists because custom products require materials, labor, production time, design time, and other resources that cannot necessarily be recovered once production has begun.
47. POLICY ACKNOWLEDGMENT
By purchasing a product or service from Media Midwest, the customer acknowledges that they have had an opportunity to review this policy.
By proceeding with an order, booking, payment, design approval, or service, the customer acknowledges and agrees to the applicable terms outlined above.
48. POLICY CHANGES
Media Midwest reserves the right to update or modify this Return, Refund, Cancellation & Service Policy when necessary.
Policy changes will apply according to the effective date listed in the updated policy.
The policy applicable to an order or booking may also be supplemented by specific terms provided at the time of purchase.
49. FINAL NOTICE
Media Midwest wants every customer to have a positive experience.
We encourage customers to:

CUSTOMER APPROVAL: Approval of a design or creative deliverable authorizes Media Midwest to proceed.
PAYMENT: Required revision and remake charges must be paid before additional work begins.
